Maybe you have been playing for a while, you know the rules well, and you are ready to step behind the table. Or maybe you are already certified and looking to get staffed at your first real event. Either way, you are probably staring at an application and wondering what a Tournament Organizer actually wants to see from someone without a long judging resume.

This article is for you.

If you have been judging for a while, there is a good chance the TO already knows who you are. In a community this relationship-driven, a strong reputation does a lot of the heavy lifting.

But if you are just getting started, or trying to break into larger events, you have to make your case on paper. Overstating which days you can work, or how many, might feel like it improves your chances, but it creates problems for the TO when the roster gets built and gaps appear. If you can only work two of three days, say two. If it is a stretch financially or logistically, say so. The goal is to give the TO a clear picture of what you actually bring to the table, so they can plan around it. That honesty is more useful to them than flexibility you cannot actually deliver.

On compensation, do the math before you apply. Applications often distinguish between being able to take standard judge calls in a language and being able to handle advanced calls and investigations in it. That difference is meaningful, so be honest about where you land rather than rounding up.

Flesh and Blood is a global game, and the bigger the event, the more international the player base. Callings, Pro Tours, World Tour stops, and Worlds draw players who may not be comfortable taking a ruling in English, especially when the stakes are high or the situation is delicate. A judge who can take that call in the player’s own language solves a problem for the TO: clearer rulings, fewer misunderstandings, and players who feel taken care of. At events that span regions or countries, language coverage is sometimes the exact thing a TO is short on. It can be the thing that gets you staffed.

So if you are multilingual, lead with it. “Mandarin, advanced” or “Spanish, fluent and comfortable with investigations” is concrete, useful, and easy for a TO to slot into their plan.

Building Your Case Beyond the Application

The cover letter gets you in the door for one event. These habits build your name over time, and they compound.

Attend judge conferences. These bring together Judge Program Managers, TOs, and judges from across the community. Show up, participate in the talks, and introduce yourself. You want people to know you are real, invested, and trying to grow. The connections you make here open doors that a great cover letter alone cannot.

Reach out to your JCR. Your Judge Community Representative is a connection worth investing in before you need them. Here is something most applicants do not know: when TOs are building their roster, they often reach out to JCRs to ask about judges they are considering. If your JCR knows who you are, what your goals are, and where you are in your development, they can speak to you specifically rather than just confirm you exist. That kind of context from a trusted voice carries weight. Don’t just reach out when you are trying to get staffed. Keep your JCR in the loop on events you have worked on, roles you are growing into, and what you are working toward. Build the relationship so that when the question comes, they already have an answer.

Write tournament reports. When I was growing as a judge, I wrote a report after every event I worked. It forces you to process what you learned, it shows the community that you are reflective and improving, and it gives you a running record of specific moments you can later pull into a cover letter. Half the battle of writing a good application is remembering what you actually did. Tournament reports solve that for you.

Sometimes You Do Everything Right and Still Get a No

I want to be honest about something: you can write a strong cover letter, keep a clean profile, answer every question well, and still not get staffed.

That is not a sign you did it wrong.

Events hire a fixed number of people. TOs are trying to build a balanced roster: a mix of experience levels, specialized roles filled, every day covered, and a budget that has to balance across base pay and sponsorship.

One thing to note, many TOs deliberately leave room for newer faces. They are not just stacking their roster with veterans. They want to bring fresh judges in and grow the community.

But even with that intent, the slots are fixed. Compensation and sponsorship requests, which roles are open, and how many lead slots exist all factor into how the puzzle gets built, and most of it has nothing to do with the quality of your application.

So when a no comes, try not to read it as a verdict on you. A few things that actually help:

Apply to more events, including smaller ones. Reps matter, and smaller events are often where new judges break in.

Stay flexible on days and roles wherever you genuinely can. It widens the slots you fit into.

If it feels appropriate, ask for brief feedback. Not every TO has the time, but some will tell you what would make a future yes easier.

Keep doing community work.
